Our client, an Investment company based in Cape Town is looking for a Senior Investment Support Administrator (Librarian)
The key functions of this position include finding /sourcing information and documents, scheduling of and preparing for meetings, record keeping, managing stationery requirements, monitoring mailboxes and ensuring that reports and information are submitted to the correct individuals and within time limits.

Minimum Requirements

Diploma or Degree in Library, Information Science or Office Administration/Management.
Minimum Experience in years & Skills 5+ years’ experience in any library or office administration environment.
Computer literacy (Word, Excel).
Familiar with the internet.
Competencies (Attribute & proficiencies, soft-skills)
Good leadership skills.
Efficient and highly organised.
Professional character, dress and manner.
Strong personality to be able to tackle difficult and sensitive situations.
Detail orientated.Strong communications skills (both written and verbal).

Role Description

Job Description
Schedule meetings (daily meetings, weekly meetings, Company Management Meetings, conference calls, Policy Group Meetings).
Prepare meeting packs, take minutes of meetings.
Maintain records of minutes per FAIS.
Order books and manuals, prepare invitation file, seminar / conference registration.
Order stationery (internally), bind documents, scan documents and track payments.
Find information by searching online databases, including broker research databases, and the Internet.
Ensure that the company results are printed, saved and handed to analysts and the CIO timeously.
Ensure that the standing documents are bought/ downloaded and distributed on time e.g. SARBS quarterly Bulletin, Budget Speech, IMF world economic outlook ACI stats and research reports.
Provide and distribute information to the relevant analyst and the CIO.
Ensure that the analysts’ reports are handed over to the CIO on time.
File library material e.g. Annual reports company information, broker reports; ensure that filing is both electronic and paper based.
Maintain electronic & conventional library.
Monitor mailboxes and distribute information.
Upload intranet information.
Manage company diary.
Create radio rosters on a monthly basis.
Maintain daily analyst files for the CIO.
Prepare and present ORM reports.
Oversee smooth running of the Investment Support team.

Salary: R400 - R500 000 per annum
