Legal, Fiscal & Cross-Border Coordination

An exceptional opportunity exists for a highly organised and commercially astute Finance, Legal and Office Operations Manager to support a business founder by managing financial administration, legal coordination, governance, compliance and cross-border business operations across South African and Netherlands entities.

This is not a traditional Executive Assistant position. It is a high-impact operational role requiring exceptional judgement, financial accuracy, legal coordination skills and meticulous document management. You will become the central point ensuring that financial, legal and governance matters remain organised, compliant and executed to the highest standard.

Key Responsibilities

Financial Administration

  • Manage personal finance administration and transaction processing.

  • Prepare payment packs and supporting documentation.

  • Perform monthly bank reconciliations and investigate variances.

  • Prepare accountant-ready financial packs.

  • Maintain accurate financial records.

Fiscal Coordination

  • Coordinate financial reporting documentation.

  • Track outstanding items and follow up on variances.

  • Liaise with accountants regarding reconciliations and reporting requirements.

  • Maintain financial reporting discipline across multiple entities.

Legal & Governance Coordination

  • Coordinate contracts and execution copies.

  • Maintain legal files and document registers.

  • Track legal obligations and key contractual dates.

  • Coordinate board resolutions and governance documentation.

  • Liaise with attorneys and external legal advisors.

Compliance & Company Administration

  • Coordinate compliance across South African and Netherlands entities.

  • Maintain statutory records and governance registers.

  • Manage filing calendars and compliance trackers.

  • Ensure governance documentation remains current and audit-ready.

  • Maintain signatory records and company documentation.

Cross-Border Coordination

  • Coordinate advisors across multiple jurisdictions.

  • Monitor filing deadlines and compliance obligations.

  • Maintain consistency across South African and Netherlands company records.

  • Ensure cross-border documentation remains aligned.

Founder Support

  • Prepare concise briefing papers and decision packs.

  • Track key actions and deliverables.

  • Handle highly confidential financial and legal matters.

  • Prioritise issues requiring founder attention.

Minimum Requirements

  • Minimum 5 years' experience within a Founder Office, Family Office, Finance Administration, Company Secretarial, Governance, Compliance or Legal Operations environment with relevant qualification.

  • Proven bank reconciliation experience.

  • Experience handling confidential financial and legal documentation.

  • Experience working with accountants, attorneys and external professional advisors.

  • Advanced Excel or Google Sheets skills.

  • Excellent document management and record control.

  • Strong written communication skills.

  • Highly organised with exceptional attention to detail.

Preferred Experience

  • Multi-entity administration.

  • Cross-border corporate structures.

  • International compliance coordination.

  • Governance packs and board documentation.

  • Compliance calendars and statutory filing management.

Key Deliverables

  • Accurate monthly bank reconciliations completed on time.
